Process Robotization
Challenge: Overcoming Software Limitations through Process Robotization
LOGRO is a company that provides comprehensive services in accounting, tax consulting, and payroll management. Under the leadership of experienced accounting and tax specialist Ailin Hanková, the company constantly seeks ways to streamline its internal processes and provide clients with the highest quality services.
Despite efforts for maximum process automation, they encountered technical limitations of their current accounting software. This precisely hindered further optimization and scaling of the company.
Initial State
- Software limitations hindering the automation of key accounting and tax processes
- Time-consuming manual tasks repeated on a daily basis
- Limited scalability without the need for increased human resources
- Insufficient flexibility of existing systems for unique client requirements
- Need for innovative solutions beyond standard automation procedures
"We are implementing a revolutionary project in our company because, technologically, the existing solution does not provide the functionalities I need to ensure a significant degree of process automation." — Ailin Hanková, CEO, LOGRO s.r.o.
TOMIA's Solution: Process Robotization as a Virtual Team Member
TOMIA has designed and is implementing an innovative process robotization solution for LOGRO:
- Analysis of processes unsuitable for standard automation — identification of tasks limited by existing software
- Implementation of RPA (Robotic Process Automation) technology — introduction of software robots to work with existing systems
- Creation of a "virtual worker" capable of interacting with the user interface of existing applications
- Configuration of robots to perform routine tasks that could not be automated with standard tools
- Integration of robotization into existing workflows and staff training
What is Process Robotization?
Unlike traditional automation, robotization is a system where a software robot works as an additional team member. Practically, this means it interacts with application user interfaces just like a regular employee. This means it clicks buttons, fills out forms, and transfers data between various systems.
"Robotization is a system where a robot takes over processes that you cannot automate in a standard way," explains Ailin Hanková, adding: "A robot works as another person on the team, and you teach it to do the work just as well as a human."
This is the implementation process and the initial results
Although the process robotization project at LOGRO is currently in its active implementation phase, it is already bringing significant benefits to the company:
- Overcoming software limitations of existing accounting and tax systems.
- Automation of previously manual processes in processing accounting documents.
- Reduction of errors in routine operations due to the consistent approach of robots.
- Gradual freeing up of employee capacity for strategic tasks and client work.
Increase in overall efficiency without the need for complex changes to existing systems.
"Thanks to TOMIA's expertise, we are successfully implementing robotization where conventional automation failed due to software limitations, thereby gaining a virtual worker on the team," Ailin describes the benefits.
Ailin Hanková: I Value the Proactive Approach and International Experience
And that is just one benefit of the collaboration that our client Ailin values. Here are others:
1. Proactive approach to problem-solving
"TOMIA always strives to find ways to make things work. They see solutions where I don't. They think beyond what they have to, and they try to think for me so I don't have to worry about it."
2. Willingness to help and go beyond standard services
"Whenever I come with any problem, they say 'let's look at it together'. Often they go beyond what they have to. I feel they want to help me, they are there for me, and they show me how to achieve it and tackle the challenge."
3. Innovative solutions also thanks to international experience
"It's evident that TOMIA has a broad perspective and experience from international collaborations, which brings me added value because you can't always draw inspiration from competitors. Why? Because we are looking for solutions that competitors haven't discovered yet. They are able to bring solutions inspired by foreign experiences."
Positive and constructive communication:
According to Ailin, one of the characteristic features of collaborating with us is proactive and constructive communication:
"Communication with TOMIA is always positive and constructive – their typical responses like: 'clear,' 'it's possible,' 'we'll do it,' or 'if it doesn't work this way, we'll find another way,' perfectly capture their approach. I also often hear: 'We looked into it. We researched it. We thought about it. We talked about it. This is how we could...' They are proactive and results-oriented."

After half a year of intensive collaboration, Ailin is very satisfied with the ongoing implementation and the results achieved:
"In implementing process robotization in our company, TOMIA goes beyond standard services and thinks for me, which allows me to focus on strategic decisions. I rate the collaboration 10 out of 10."
